This Privacy Policy explains how Vietnam Airport Fast Track Services (“we“, “us“, “our“) collects, uses, shares and protects your personal data when you visit www.vietnamairportfasttrack.com (the “Website“), book our airport assistance services, or contact us by email, phone or WhatsApp.

We process personal data in accordance with the Law on Personal Data Protection of Vietnam (effective 1 January 2026), Decree No. 356/2025/ND-CP guiding its implementation, and other applicable laws.

We provide airport assistance services in Vietnam, including VIP meet & greet, arrival fast track, departure fast track and connecting flight assistance.

2. Personal data we collect

Depending on the service you book, we may collect the following data about you and the passengers you book for:

• Identity data: full name as shown on the passport, nationality, date of birth, gender.
• Travel document data: passport number, expiry date and nationality, used to prepare your name sign and coordinate your meet & greet at the airport.
• Flight data: airline, flight number, date and time of arrival or departure, airport, number of passengers and luggage.
• Contact data: email address, phone or WhatsApp number, and the contact details of the person making the booking if different from the traveller.
• Service request data: special requests you choose to give us, such as wheelchair assistance or assistance for elderly passengers or children. If this reveals information about health, we use it only to provide the assistance you asked for and only with your consent.
• Payment and transaction data: amount paid, payment method, transaction reference and booking history. Card and PayPal payments are processed by our payment providers. We do not receive or store your full card number or security code.
• Communication data: messages you send us by email, WhatsApp, phone or contact forms.
• Technical data: IP address, browser type and version, device and operating system, time zone, pages visited and similar information collected through cookies and similar technologies (see Section 8).

Please provide only the data needed for your booking. If you provide data about other passengers, you confirm that you are authorised to do so and that you have informed them of this Privacy Policy.

3. How we collect personal data

• Directly from you when you fill in a booking form, make a payment, or contact us.
• Automatically when you use the Website, through cookies and similar technologies.
• From third parties, such as payment providers (to confirm payment status) and airport or airline partners (for example, flight status changes).

4. How we use your personal data

We use personal data only for the purposes below:

1. To provide the service you booked: confirming your booking, arranging staff to meet you, coordinating with airport and immigration authorities and ground handling partners, and informing you of the meeting point and procedures.
2. To process payments, refunds and invoices.
3. To communicate with you about your booking, flight changes, delays and support requests, including 24/7 support via WhatsApp and phone.
4. To comply with legal obligations, including accounting, tax and requests from competent authorities.
5. To keep the Website and our services secure, prevent fraud and misuse.
6. To improve the Website and our services, using aggregated or analytics data.
7. To send you news and offers, only if you have agreed to receive them. You can unsubscribe at any time.

5. Legal basis for processing

We process personal data on the following bases, as permitted by Vietnamese law:

• Your consent, which you give when you submit a booking or contact form and accept this Privacy Policy. You may withdraw consent at any time (see Section 11). Withdrawal does not affect processing already carried out, and we may be unable to provide a service if the data needed for it is withdrawn.
• Performance of a contract with you, i.e. delivering the service you booked.
• Compliance with legal obligations and requests from competent authorities.
• Other cases permitted by law, including protecting the life, health or property of you or others in emergencies.

6. Who we share your personal data with

We do not sell your personal data. We share it only when necessary and only to the extent needed:

• Airport operators, immigration and border authorities, airlines and ground handling partners, so that the assistance you booked can be arranged.
• Our staff and service partners at the airport who meet and assist you.
• Payment service providers (such as card processors and PayPal) to process your payment.
• IT service providers that host the Website, provide email, messaging, booking and analytics tools for us.
• Competent state authorities when required by law.
• A buyer or successor in the event of a merger, acquisition or transfer of our business, subject to the same protections.

We require our service providers to protect your data and use it only on our instructions.

7. Transfer of personal data outside Vietnam

Some of our service providers (for example, website hosting, email, payment and messaging providers) may store or process data on servers outside Vietnam. Where this happens, we transfer data in accordance with Vietnamese law on cross-border transfer of personal data and take reasonable steps to ensure it remains protected.

8. Cookies

The Website uses cookies and similar technologies to:

• make the Website and booking forms work properly (necessary cookies);
• remember your preferences;
• understand how visitors use the Website so we can improve it (analytics cookies).

You can block or delete cookies in your browser settings. Blocking necessary cookies may stop some parts of the Website, such as the booking form, from working correctly.

9. How long we keep your data

We keep personal data only as long as needed for the purposes in Section 4:

• Booking, passenger and passport data: until the service is completed and any related questions, complaints or refunds are resolved, after which it is deleted or anonymised unless further retention is required by law.
• Invoices and transaction records: for the period required by Vietnamese accounting and tax laws.
• Marketing data: until you unsubscribe or withdraw consent.
• Technical and analytics data: for the period set by the relevant cookie or tool.

10. How we protect your data

We apply appropriate technical and organisational measures to protect personal data against loss, unauthorised access, alteration or disclosure, including encrypted (HTTPS) connections, access controls limited to staff who need the data, and the use of reputable payment providers. No method of transmission over the internet is completely secure, but we work to protect your data and will notify you and the competent authority of a personal data breach where required by law.

11. Your rights

Subject to the conditions of Vietnamese law, you have the right to:

• be informed about how your personal data is processed;
• give or withdraw consent;
• access your personal data and request a copy of it;
• request correction of inaccurate data;
• request deletion of your data;
• request restriction of processing, or object to processing, including for marketing;
• file a complaint, denunciation or lawsuit, and claim compensation for damage as provided by law.

To exercise these rights, email support@vietnamairportfasttrack.com with the subject “Personal data request”. We may ask you to verify your identity before acting on the request, and will respond within the time limits set by law. Some requests may be refused or limited where the law requires or allows us to keep the data (for example, accounting records).

12. Children’s data

Our services are booked by adults. Where a booking includes passengers under 18, the parent, guardian or adult making the booking must provide the child’s data and gives consent on the child’s behalf. We use children’s data only to provide the booked service.

13. Third-party websites

The Website may contain links to other websites, such as payment pages or airport transfer providers. These websites are operated by third parties with their own privacy policies. We are not responsible for their content or how they process your data, so please review their policies before providing your information.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services or the law. The updated version will be posted on this page with a new “Last updated” date. Where changes are significant, we will take reasonable steps to inform you.
